Context and Problem

Currently, the Reno Specialist and Supply Analyst roles operate without a unified, structured system to create and validate renovation budgets prior to entering seller negotiations. The existing process suffers from financial estimates being fragmented across different sources, inconsistent application of profit margins, and the absence of a singular, authoritative reference point. This situation complicates the ability to maintain traceability of budget components, hampers role alignment, and complicates the transition into the Negotiation phase.

The Solution: The Reno Budget Module

To address these challenges, we have developed and deployed the Reno Budget Module within Vistral. This module introduces a standardized, controlled budgeting flow that improves accuracy, oversight, and operational efficiency.

Step-by-Step Workflow:

  • The Reno Specialist accesses a property in the Analysis & Feasibility stage and opens the Reno Budget module.
  • Within the module, the Specialist can simultaneously review the Partner's Checklist and accompanying property photos, facilitating informed and contextual budget development.
  • The budget is constructed line by line, with the Specialist selecting each work item directly from a standardized master catalogue.
  • Each selected item is assigned to a specific room or area within the property, with quantity inputs and supplementary free-text notes allowed to capture critical contextual details.
  • Unit prices are automatically populated from the master catalogue and are locked to prevent unauthorized changes, ensuring pricing consistency.
  • Non-construction related costs, such as contingencies, licenses, and project fees, are recorded separately under an "Others" category. This approach structures the budget clearly and maintains auditability of all financial components.
  • A dynamic summary updates in real-time, calculating and displaying the Total Construction Cost, the Applied Margin in currency terms, and the Final Approved Budget. This feature removes the need for manual recalculations, reducing errors and improving efficiency.
  • Upon completion, the Specialist uses the "Approve and Lock Budget" function, which freezes all budget figures at that point in time, including catalogue prices, solidifying the financial baseline for the subsequent phases.
