Revolutionizing Construction Diaries: Voice Transcription and AI-Generated Task Management

The daily responsibilities of a construction site manager are demanding. Coordinating teams, overseeing execution, addressing unforeseen issues, and managing suppliers often leave little time for documenting daily progress. Writing a construction diary tends to be an afterthought, usually postponed until the end of a long day.

To address this challenge, we have launched a new feature within our web application that simplifies recording worksite progress to be as effortless as sending a voice message. Leveraging state-of-the-art Artificial Intelligence, this feature enhances productivity without imposing additional burdens on site managers.

Voice Input Powered by OpenAI’s Whisper Model

Typing on a keyboard is not always practical in a construction environment. Our redesigned Construction Diary section offers two modes of input:

  • Manual Entry: Suitable for moments when the user is at a workstation and prefers traditional typing.

  • Voice Entry (AI): From the construction site, the project manager records an audio message summarizing daily events.

The voice input leverages OpenAI’s Whisper, an advanced speech recognition AI model, which transcribes audio quickly and with high accuracy into structured text. This enables near-instantaneous generation of diary entries directly from voice recordings.

Comprehensive Traceability and Documentation

All entries are systematically organized in the project’s documentation, capturing critical metadata to ensure complete traceability:

  • Author Identification: Records which site manager produced the entry.
  • Timestamping: Logs exact date and time for each entry.
  • Entry History: Maintains a chronological record of the project’s progress, day by day.

Automated Task Extraction—From Passive Records to Active Management

Beyond simple transcription, the system applies advanced AI processing to analyze diary content, extracting actionable tasks automatically. The AI comprehends context to identify:

  • Pending actions requiring completion.
  • Reported issues necessitating resolution.
  • Next steps outlined by the site manager.

Extracted tasks are integrated seamlessly into the application’s workflow, preventing any critical detail voiced on-site from being overlooked.
