Integrated Idealista module streamlines rental listing publication and lead management.

Context and Problem

The process of publishing rental listings through Idealista was previously external to our core product, Vistral Rentals. Agents were required to access Idealista’s back office independently, manually re-enter every data field, upload photographs individually, and monitor each listing through an uncoordinated system. This approach caused significant data inconsistencies between our system and the Idealista portal. Additionally, leads generated on Idealista were directed to an unmonitored inbox, resulting in lost opportunities and a lack of visibility regarding the success or failure of listing publications. The manual nature of the workflow introduced errors, inefficiencies, and rendered auditing virtually impossible.

The Solution

We have developed and integrated a native Idealista module directly within Vistral Rentals, enabling the entire publication lifecycle to occur without leaving the application interface. The key components include:

  • Guided Publish Wizard: A structured, four-step process embedded on the property page — Basic Data, Details, Photos & Video, and Preview. The system auto-saves progress and highlights completion status at each stage, providing immediate feedback on missing elements before publication.

  • One-click "Publish": Once a property attains the "Listo para Alquilar" (Ready to Rent) status, users can execute a comprehensive publication operation with a single action, "Avanzar a Publicado" (Advance to Published). This operation atomically creates the listing on Idealista, uploads all photos with automated room-type labeling, uploads videos, and updates the property status to "Publicado" (Published) on the Kanban board. The transaction is atomic — should any step fail, no partial publication occurs.

  • Edit and Resynchronize: Modifications to property information, such as price or description, can be updated directly within Vistral and synchronized with the live Idealista listing via "Guardar cambios" (Save Changes), eliminating manual portal updates and copy-pasting.

  • Human-Friendly Validation: Before submission, listings are validated against Idealista’s criteria to prevent cryptic API errors. This validation provides clear, actionable instructions to correct data prior to publication.

  • Automated Lead Integration: Leads generated on Idealista are seamlessly imported into Vistral as tenancy requests and candidates. QualiBOT initiates immediate outreach via WhatsApp, ensuring instantaneous response and a fully closed lead qualification loop.

  • Expedited Lead Response: Lead follow-up is automated and immediate, replacing delayed manual inbox reviews with instant WhatsApp communications.

  • Comprehensive Operational Visibility: Every publication attempt is now fully auditable within the system’s monitor, contrasting with the previous complete lack of oversight.
