Introducing a structured signing workflow to streamline deed coordination.
Context and Problem
Until now, the deed signing process was managed using a single flat Airtable table. This approach lacked a defined workflow structure, guardrails, or a clear distinction between tasks the team needed to set up and documents they were waiting to receive. Agents were compelled to self-organize and mentally track the status of each case—identifying which documents had arrived and which were outstanding. This manual overhead introduced significant risk, as crucial steps could be overlooked. The process heavily depended on individual organization rather than a cohesive system shared across the team.
The Solution: Signing View Workspace
To address these challenges, we launched the Signing View—an integrated, dedicated signing workspace accessible directly from the Document Verification interface. The design stems from a key conceptual separation: the act of setting up a signing event is distinct from the receipt of associated documents, and the interface clearly reflects this.
The Signing View is divided into two primary modules:

Coordination Data Panel: This panel handles all configuration aspects of the signing. It records details including the signing date, assigned notary, gestoría involvement, location of keys, responsible party, and financing status. The system automatically assigns the agent when Prophero is the owner to streamline responsibility allocation.

Documents Module: This module monitors documents received related to the signing—specifically "provisiones de fondos" and "copia simple". Each document type displays clear status indicators with slot states categorized as empty, uploaded, or pending correction (subsanación), ensuring transparent monitoring of documentation progress.
In cases where the signing must be postponed, agents can log the reason for delay. The form then reloads with all previous information pre-filled, enabling quick reference and accurate data reuse, minimizing re-entry errors.
