Centralized Settlement Dashboard Enhances Efficiency and Visibility for Agents and Leads

Context and Problem

Effective management of settlement operations within Vistral historically required users to navigate multiple disparate views. Agents lacked a unified interface to oversee their assigned cases, monitor critical alerts, or visualize imminent signings. This fragmentation necessitated frequent context switching, increasing the likelihood of neglecting time-sensitive tasks such as expiring deposit agreements (arras) or outstanding documentation requirements.

Settlement Leads faced an amplified challenge due to the absence of tools providing comprehensive visibility into their team's workload and case allocation. The inability to swiftly identify unassigned cases or efficiently distribute workload impeded operational responsiveness and risked case mismanagement.

Solution Overview

To address these issues, a role-based Home Dashboard for the Settlement module has been developed that aligns specifically with the operational workflows of agents and leads.

1. Global Summary Module

   • Presents a consolidated panel displaying critical operational metrics: total Operations, Units, Buildings, Projects, Work-In-Progress (WIPs), and New Buildings.
   • Incorporates an early-stage indicator to flag units approaching entry into the operational flow, enabling preemptive focus.

2. My Assigned Cases

   • Aggregates all cases assigned to the logged-in agent, systematically grouped by project for streamlined navigation.
   • For each case, essential details are presented upfront: address, signing date, current process status, and the count of pending documents, obviating the need for additional navigation.

3. Alerts Feed

   • Prioritizes and displays critical alerts centered on two pivotal triggers:
     • Arras contracts expiring within the next two weeks.
     • Newly uploaded documentation, including initial submissions or resubmissions post-rejection.

4. Signing Calendar (30-day view)

   • Offers a comprehensive 30-day perspective on all scheduled signings.
   • Interaction with any calendar event reveals a detailed modal containing signing date and time, notary details, buyer information, assigned analyst, and a selector for the Signing Responsible.
   • Direct access is provided via a "View Operation" call-to-action, facilitating immediate navigation to the case details.

5. Settlement Lead Extensions

   • Extends all agent dashboard functionalities with team-centric features:
     • A team filter enabling leads to monitor the pipeline of any agent or lead.
     • An Unassigned Cases module equipped with controls for both individual and bulk case assignments, grouped by project for operational clarity.
     • A Team Workload visualization presenting case load distribution as percentages across the settlement team, supporting balanced workload management.

Expected Business Impact

• Accelerated Daily Prioritization: Agents can pinpoint their most urgent cases within ten seconds post-login, eliminating the need to consult multiple views.
• Zero Missed Alerts: Automatic surfacing of expiring arras and new documentation removes dependence on manual tracking, minimizing the chance of overlooked deadlines.
• Streamlined Signing Coordination: Centralizing signing schedules and details in a single calendar with accessible modals removes inefficiencies associated with switching between disparate tools.
• Comprehensive Team Visibility for Leads: Immediate insight into workload distribution and unassigned cases enables swift reallocation of resources, reducing risk of missed cases.
• Efficient Bulk Assignment: Leads can assign unassigned cases for entire projects in a single action, dramatically reducing time spent on case distribution from minutes to seconds.
